Guidelines for Delegate Details & Address

Please follow the instructions to sign in/login and complete fields “Title/First & Last NamesandCompany/Organisation” as you would wish them to appear on your name badge.

A “Contact Telephone Number” is not required and can be completed with 9 zero’s (“000000000“).

The “Job Title” field does not need to be completed here and will not be captured.

Please complete your “Delegate Address” with your Work address, i.e. indicate the country in which you are currently living, not your country of birth. This is particularly important if you wish to apply for a grant (your country of work is the one considered as your country of residence).

Stage 1 of registration

Please complete and submit in order to receive access to our discounted or preferential accommodation rates before moving to stage 2. We ask personal information about gender: this will be used solely for IAU reporting. This stage is also necessary if you wish to submit a late poster abstract. Abstract submission for oral presentations and grant applications is now CLOSED. Please follow the abstract submission guidelines and make sure to upload your edited abstract(s) with a different name than the template. Note that it takes several pages of click “add to basket”, “proceed to checkout”, “continue” and “confirm your order” at the end to fully complete the process. On completion of Stage 1 you automatically receive two confirmation emails.

IMPORTANT: It has been apparent that some delegates have been experiencing problems with the online registration server, particularly so with the uploading of documents. If you encounter the issue, please first try another browser (e.g. Chrome instead of Safari). If this is still not solving the issue, please complete Stage 1 for all sections that are appropriate to you (including title, session, etc), but without attaching the document(s). You will then be able to proceed without any problem. Once you have received an email confirming your successful completion of Stage 1, please either use the contact form or email your abstract(s) to Miss Emma Clarke at iaus@exeter.ac.uk, quoting your booking reference / order number e.g EXE000000.

Stage 2 of registration

Following Stage 1, please review your accommodation choices and complete the next stage of the registration process. You are asked to confirm attendance at scientific sessions and social events and to indicate any special requirements (visa letter, accessibility, car parking permit, dietary requirements, childcare if not already supplied in Stage 1). This stage includes payment of all the required and optional charges (fees, campus accomodation, dinners). We accept Visa, MasterCard and Maestro debit and credit cards. We do not accept American Express (Amex) nor Diners Club cards.

Please note that you will be informed on the status of your scientific contribution(s) and any funding request no later than the 13th of April 2017 (before the end of the early registration deadline). We do not recommend to wait until this communication to secure your campus accomodation in Stage 2 unless your registration depends on it, i.e. we guarantee campus accomodation in Pennsylvania Court for grant awardees. If necessary, refunds can be arranged, subject to terms of the cancellation policy.

Cancellation Policy

All cancellations and changes are to be addressed to the Conference Secretariat in written form at any stage prior to or during the event.

Fees will be refunded less bank charges, after the conference, according to the following policy:

Cancellations received before May 12th, 2017: 100% refund less bank charges.
Cancellations received between May 12th and June 16th, 2017: Refund less 25% of any campus accommodation charges and less bank charges.
Cancellations received between June 16th and June 23rd, 2017: Refund less an administration fee of £50, less 50% of any campus accommodation and catering charges and less bank charges.
Cancellations received after June 23rd, 2017: no refund can be made.

Substitutions can be made at any time by contacting the Conference Secretariat in written form. Organisers shall not be liable for refunds should visas not be obtained.
