Mentoring Marketing Assistant – Employment Services, University of Exeter

What were your main duties and responsibilities during the course of your internship?

My main role was to provide marketing, promotional and administrative support to the Career Mentor Scheme, eXepert Scheme and other teams within Employment Services. Specifically, I was responsible for marketing the schemes to students, through distributing printed materials around campus in key areas and updating the information on plasma screens, university webpages, and in college newsletters. In order to do this, I had to create and update the materials, communicate opportunities and interact via social media platforms, write bulletins, and write press releases following events. Finally, I support the schemes by promoting at on-campus events, which requires in-depth knowledge of both schemes and good communication skills, and assisting in the organisation and running of Career Mentor Scheme Events.

What would you say was your biggest achievement over the course of your internship?

I was able to improve my communication skills with a range of people across multiple channels; email, social media, phone and in person.

What benefits did your internship bring to your employer?

I was able to lighten their workload by monitoring, updating and distributing the marketing materials every week, and was able to assist other areas of the team by distributing for them too. Additionally, by assisting in the running of events, and having knowledge of the scheme, I was able to support staff changeover.

What were your main duties and responsibilities during the course of your internship?

I managed data for and prepared all department and University level applications to external Charters (the Athena SWAN Charter and the Gender Equality Charter Mark (GEM) and Race Equality Charter Mark) and produced over 300 datasets. I also produced guidance and documentation on reports and data issued, including in relation to the Charter submission documents. I supported and coordinated smaller University projects, including leading on GEM, Parents’ and Carers’ Network, and the Gender Equality Group. I supported the application for University reaccreditation and organised events to support Women in HE aims.

What would you say was your biggest achievement over the course of your internship?

I have more confidence in my own abilities and have had a very wide range of experience in different areas.  I am pleased to have worked with senior and junior staff.

What benefits did your internship bring to your employer?

I led on the GEM project which was an achievement for the University. This was a challenging trial, and I led Classics and Ancient History through the new processes and templates well. I energised and brought new enthusiasm and ideas for the Gender Equality Group, doubling attendance in a year. I initiated and maintained a Parents’ and Carers’ Network for the University, which has been successful and is growing. I coordinated Aurora feedback and finances to lessen overworked staff’s burden.

Her greatest achievement was setting up the University’s Parents and Carers Network which included defining the scheme, arranging training , an online network forum and bank of reference materials. What were your main duties and responsibilities during the course of your internship?

One of my main responsibilities was to coordinate the termly calender of events run by the Careers Consultants which including creating the schedule of events, booking appropriate rooms, uploading the events to the student portal My Career Zone and after the events were completed, analysing the levels of attendence to the events. Other responsibilities I had were to take notes at the weekly Careers Consultants meeting. I also organised a Finalist Campaign to try and engage finalists before they left the University and ensuring they were aware of the availability of the Careers Services’ help for three years after graduation. I also worked on an income-generating psychometric testing project with an external agency supporting the majority of the administration work from the University side, which involved sending a mailing to all participants with their voucher reward for taking part in the project.

What would you say was your biggest achievement over the course of your internship?

My biggest achievement was successfully persevering through a mailing problem which saved us hours of time, within a project which generated a large amount of revenue.

What benefits did your internship bring to your employer?

My internship benefitted my employer through reducing the administration workload across the whole team, freeing their time to work on other projects within their team and within the department as a whole.

What were your main duties and responsibilities during the course of your internship?

My main responsibilities were booking rooms, planning the ‘Core Skills’ and ‘Focus On…’ event programmes, asking who was available to run the sessions, after which I would upload the events onto the CareerZone website. I sent feedback forms to those who attend sessions. I collated this information and attendance numbers to improve the programme for the future to become more targeted and efficient in running the sessions. As a project coordinator I worked on various different projects including running a psychometric testing project for students, responding to queries about the project and sending out online vouchers after the project was complete. Another project I worked on was the ‘Finalist Futures’ campaign targeting final year students to engage with the service before leaving the University.

What would you say was your biggest achievement over the course of your internship?

My biggest achievement was managing large scale, multi-faceted projects, which helped me learn lots of new skills such as timeline planning for months in advance, how to do mail merges, listening to what is required and bringing elements of the projects in on time and below estimated costs.

What benefits did your internship bring to your employer?

My role reduced the administration time required by the team leader to set up the termly programme of ‘Core Skills’ and ‘Focus On…’ events. By making this programme more efficient, I also saved time for the whole team, due to a reduction in delivery time. I also worked to save money for the team on projects through researching different ways of completing the same action.

What were your main duties and responsibilities during the course of your internship?

Organising meetings, taking minutes, updating the AV inventory, creating and updating web pages, collating articles for the termly newsletter, assisting with examinations, booking rooms, etc.

What would you say was your biggest achievement over the course of your internship?

I was able to learn a large number of different IT programmes.

What benefits did your internship bring to your employer?

I was able to reduce some workload pressure for my colleagues e.g. organising AV demos for staff at the university.

Did you encounter any problems during the course of your internship and if so, how did you overcome them?

The main problem I had was that I did not have enough work to complete. I spent time in with other teams assisting with additional tasks.
